What we collect through our forms

When you send an enquiry, ask for a quote, apply as a distributor or request the catalogue, we receive what you type in:

• your name, email address and phone or WhatsApp number;
• your company, role or type of buyer, country and destination port;
• the products, quantities, markets and timeline you mention, and your message.

With it we record the page you sent it from and, if you arrived from a campaign link, its campaign tags (for example utm_source), so we know which pages and channels bring enquiries.

If you contact us on WhatsApp or by email, we receive your number or address and what you write, as with any message.

Why we use it

Only to deal with your enquiry: to reply, send the catalogue, quotations, product documents and samples, follow up on that enquiry, and, if you become a customer, to run the orders and shipments. We do not sell your details or pass them to other companies for their marketing.

The legal basis is that you asked us to contact you (steps before a possible contract) and our legitimate interest in answering business enquiries. Where the law requires consent, such as for analytics cookies in the EEA, UK and Switzerland, we ask for it first.

Our ads on Facebook and Instagram. To show our ads to businesses that have already enquired — and not to existing customers — we may give Meta a scrambled (hashed) copy of the email address and phone number you gave us. Meta uses it only to match it against its own users and does not receive the readable details. You can object at any time by emailing info@manshavimpex.com, and we will remove you from these lists.

Where it is kept

Form submissions go straight into our own customer-relationship system (CRM), where our sales and export staff handle them. It runs on cloud hosting and database providers that process the data on our behalf, so your details may be stored on servers outside your country, including in India, the United States or the European Union. Our email and WhatsApp messages go through the providers of those services.

How long we keep it

We keep enquiry and customer records for as long as we are in contact with you about a possible or actual order, and afterwards for as long as we need them to keep proper business, tax and export records. If you ask us to delete your details and we have no such legal reason to keep them, we delete them.

Cookies and analytics

We use these on this website:

• Google Analytics (Google) to count visits and see which pages are used. Visitors in the EEA, UK and Switzerland are asked first: until you accept, Google Analytics runs in its cookieless “consent mode” and sets no analytics cookies.
• Microsoft Clarity (heatmaps and recordings of how pages are used, with form input masked) and Leadfeeder / Dealfront (which identifies the companies, not the people, visiting from business networks). These load only with your consent where consent is required.
• Advertising tags — the Meta Pixel (Facebook / Instagram), Google Ads and the LinkedIn Insight Tag — record which pages you visit and actions such as staying a minute, opening a product range or downloading the catalogue, so we can show our ads to people interested in our products and measure enquiries from them. The Meta and LinkedIn tags load only with your consent where consent is required; Google Ads follows the same consent mode as Google Analytics.
• Our own visit statistics. The site sends our CRM the page viewed, the referring site, campaign tags, device type (mobile, tablet or desktop) and an anonymous visit identifier kept in your browser for the session. The approximate location (country, region, city) is worked out by our hosting provider from your IP address; your IP address is passed to our server only to limit abuse.
• Cookies we need to run the site: mi_consent stores your cookie choice for 6 months, and mi_consent_region records only whether the banner is needed for your region (not your country), for 30 days. The site also remembers your language and whether you closed the catalogue pop-up in your browser's local storage.

You can change your choice at any time: open cookie settings. You can also delete cookies in your browser settings.

Your rights

You can ask us for a copy of the personal data we hold about you, ask us to correct it or delete it, object to how we use it, or withdraw a consent you gave. Email info@manshavimpex.com from the address we have for you, or tell us how to identify your records, and we will reply within one month. If you are unhappy with our answer, you can complain to the data protection authority in your country.
